I do daily sign in sheets, but I'm looking for an easy way to record what children are here today. It must be super easy to read because in an emergency in which I need to go leave the daycare whatever parent gets here first is who will be calling and making sure all of the other dck's get picked up.

Maybe like something I can laminate and write on every day? I hope that makes sense

I am curious if all your parents had to agree to this emergency policy? What if Sally's mom decides she is going to take her good old time getting the the daycare because she knows that if she gets there first then she will be responsible for calling and watching the kids.

Well now I'm curious about what your plan is? In an emergency where you either need to leave with a child or you yourself are having the emergency... what's your plan?

This plan was suggested by my licensor as a way to avoid hiring a sub... who more than likely wouldn't be just sitting around waiting for my call thus would not be here as quickly as I'd need it. ALL of my families are on board and eager to help if I needed it.... it is the safety of THEIR children as well as the others after all


Anyway, I didn't ask if everyone agrees with this policy. Just can't picture exactly what I need and was wondering if anyone else uses something similar so that it can be referenced very quickly in an emergency by those who may not be familiar with the dck's... an emergency sub actually would need this as well.

Are you referring to emergency situations such as if you get hurt or your DS needs you to pick him up or something similar?

Just looking for clarification.....some states have some really weird rules/requirements for providers so just double checkin'

I have a regular attendance sheet in my to go bag . Maybe you could use one of your regular ones , have a blank copy handy and just fill it in if needed .

In an emergency where I must leave my home I contact the parents myself and they must come get their child at the alternate location .

We have to make a formal emergency plan and a copy of our evac procedure ( shelter on site , evac to alt location , how we inform parents) must be given to parents .

You could make one of those "Who's here today?" charts that the kids can be in charge of moving there picture from "home" to "school".

Yes... like if I get hurt, ds has an emergency at school, family emergency, OR even if one of the dck's get hurt. <the plan for that is send the dck in the ambulance and I wait until the first dcp gets here to take over. All of my parents work in town and can be here within 10-15 minutes in a drop-everything-and-run emergency. In our regs it's just required that we have a plan. When I asked my licensor about it she said she recommends providers do it this way

That used to be the plan when I based my enrolled on whether I have enough space in my van, but I no linger transport

I would print out a paper that says who is here today or sign-in and then have a bunch of lines. I would laminate it and use a vis-a-vis pen and write the names of the children everyday. You could erase it each night and start over the next day. The pen won't rub off unless you get it wet and you wouldnt have to print a paper each day.

Here we have to have someone set up as an "Emergency backup". They need Shaken Baby classes and have to fill out a form. I believe they need to be within 5 minutes of my daycare, mine is my neighbor.

Could you use someone like a neighbor? Do your kids have a set schedule where you could print out a weekly schedule of who is hear and the times, laminate it and then just cross off that morning if they will not be there.

I'm not looking to change the policy

A couple of my kids have varying schedules which is a big reason that I'm wanting to make a laminated daily schedule... or something similar.

We used to have a chart like this and the kids would check themselves in and out each day by moving their own photo/symbol to the "here" side of the board.




I've seen this done with a long strip and clothes pins for each child too...

As for emergency cards with each child's info on it, I keep all that info on index cards (laminated) and on a carabiner clip. I clip it to the stroller when we go for walks or clip it on my belt loop of my jeans while we are outside.

That way each child's emergency info is at my finger tips.

Gotcha...I'd say a laminated sheet and the vis-à-vis pen is the way to go then. They parent that comes can use it too to cross off who has been picked up.

I love that chart! And the emergency cards on a clip is great too. Im excited to make something up this weekend. I had my annual inspection last week and I'm realizing just how badly I need some organization in my life

I have a white board calendar by my front door that has my daycare schedule and what kids are here which days.

Like blackcat, I had a carabiner clip with laminated index-sized cards for each child...(with a small picture!) , parents names & emergency #s, allergies, etc. I just put the cards on the clip as the kids came in. No writing necessary!

At one point I did have a board up front, but it was not portable, and too easy for a kid to mess it up. I just hung the clip on a hook (out of reach) by the front door to grab with my keys if needed.

As a teacher we had to have a clipboard with actual marked attendance, the official office form - it was just a list of each kid enrolled and a column for here or absent And it could easily be laminated and wipe-able for each day.

I think this is the direction I'm leaning for now... and maybe with a picture of each child?

Since it's a lot to ask of a parent to help me in an emergency situation I want to make things as easy as possible for them.

Maybe you can do a "who is here today?" Chart where there is a list of the children's names and a little symbol that they (or you/parent for infants) move when the child arrives and leaves. It's also a nice transitional tool for the children.

I think that would be perfect. All on one sheet and easy to use both for you and for parents.

I know this plan, of the parent watching other children, wouldn't be allowed in my area unless all of the parents (as the OP is just basically picking whoever comes first as opposed to one parent always doing it) are background checked and I had a copy of them passing it. Technically, in my area, parents aren't even allowed inside unless they are background checked. Drop offs/in are my door unless they're the first ones/last ones.
