Daycare Center and Family Home Forum>How Do You Receive Your Payments?
rmc20021 11:43 AM 02-21-2013
I have only taken either cash or check (plus my state assistance payements) so far but I've been thinking about going either bank transfers, or direct deposit or finding another way to pay.

By the time I'm done on Friday's it's too late to get to the bank (or any other weekday for that matter) so that only leaves Saturday mornings.

I DON'T WANT TO GET UP EARLY OR HAVE TO GET READY TO GET OUT ON SATURDAYS...that's my free day to be lazy all morning.

What types of payments do you all accept??? and how did you go about setting it up?

I have 2 parents who do online banking and the rest give me cheques.

The store where I do my groceries also has a bank machine for my bank so I just deposit any cheques at the same time I do my shopping.

I accept cash, check, money orders, automatic transfers and cheesecake.

Does your bank have an option to e-deposit or do the take a photo of the check with your smart phone and it automatically deposits? I use that option alot.

If I know a parent banks at the same bank as I do, I request that they do an transfer from their acct to mine. They don't need my acct info, just my name and the bank takes care of the rest.

Otherwise, I spent years doing ALL bank runs to deposit on Saturday morning.

My parents pay through Minute Menu Kids Pro -- childcarepay.com.

I never have to take the money I make to the bank. It is all paid through there. I LOVE it.

I got sick of checks too. If parents pay monthly, I accept a check. If they pay weekly, I prefer cash.

I offered parents the options of paying with credit cards or e-checks but no one wanted to pay the fee to utilize the service and I really didn't think I needed to absorb it either.

I do cash, cashiers check, money order, personal check or bill pay (where their bank mails me a check.) If they are set up with their bank for bill pay, payments are to be received 3 business days before they are actually due to ensure mail delivery.

Mine usually pay by check. I have until 9pm on Friday to deposit the checks through my ATM and still have the funds available on Saturday morning. But even better now is my bank has a mobile application. I take a picture of the front and back of each check and send the images to the bank by 6pm on Friday and the money is deposited into my account that night. LOVE IT!!! No more running to the bank after work.

I have a smart phone and my bank has mobile photo capture for deposits so I deposit my checks at home by taking a photo of them and submitting them that way. You don't have to send the checks in, so once they clear I return the checks to the DCPs. This is free to use. It takes about a business day for the deposit to clear as long as I deposit the check before 3 or 4pm.

I have a PayPal account that parents can use to pay me with for like a 3% fee. It takes about 24 hours for the money to clear in my PayPal account and I can transfer it to my bank account (takes about 5 days to clear) or I can use my PayPal debit card to use the funds.

I also have a SquareUp card reader (free for the card reader) that charges less than PayPal and you can swipe a debit or credit card or you can manually enter the information (like if the parents call me by phone). It takes 3-5 days for the money to clear in my account.

I use Minute Menu Kids Pro so I use ChildCarePay.com along with it. I create an invoice in Minute Menu which is emailed to the parent and the parents can log in to ChildCarePay and sign up for electronic payments and pay their fees that way. You can even set them up for automatic invoicing and they can sign up for automatic payments but you may have to go back and change the invoice coverage dates. There is a $1 per transaction fee but that's all. It takes about 5 days for the money to clear in my account.

I accept cash (which I don't particularly like) but I still have to go to the bank to deposit it.

I accept person-to-person payments through my bank for clients that bank at the same bank that I bank at. I add them to my account simply by adding the email address and telephone number that they have on file at their bank and sent them a request for the amount that they owe. They receive a text message and/or email alert and then login to their account (either online or on their phone) and sent the payment, I get an alert that the payment was sent and I verify the amount and accept the payment. This is free. Payment is in my account within 24 hours.

Cash, check, Paypal and credit card. DON'T do credit cards, unless you enjoy flushing money down the toilet. When my awful contract is up, switching to Square One. Paypal is really cool and affordable prices.

I love online banking. My DCP just send me an email & I can deposit the money right then. Doesn't matter if it's a holiday or storm day - I don't have to see them to get paid (Actually I love my DCP so I like to see them )

I get prepaid on 1st and 15th of each month.

I'm so I'm glad that you have this smart phone app option at your bank, it definitely makes life easier. For the others, these are the banks that have it so far (that I know of):

Chase
Wells Wargo
Bank of America
PNC Bank
USAA Bank
State Farm Bank
And I think there are a couple of others.

If I sign up on Minute Menu Pro to email the invoices to the parents.. do they have to pay by childcarepay ? or can they choose to bring a check or cash?
The system doesnt want to allow me to email the invoices I create.. unless I sign up .. but I don't have any parents that are very interested in the childcarepay .. it's me that is interested in having the ability to email the invoices...

If you have entered the parents email addresses in the child information part, you can send the parent information letter. You can find it in electronic payment set up and then click on parent account and parent letter. The will then go on the web page and select a password. This will not make it autopsy, it will just enable you to send out invoices electronically. I love it!

All of my parents pay in cash on Friday. For 20+ years I have done it this way and I figured if it isn't broke, why fix it.

I just click save on the page where you are getting ready to print the invoice off.

I have a folder on my desktop that the invoices are saved in.

I attach the saved invoice to parents in an e-mail.

Super simple to do.....without using the childcarepay system.

Paypal may be easy to set up and use but they are expensive. I use Authorize.net and I pay only around $25 a transaction. I was grandfathered in at that rate about 10 years ago. Square One may be a good way to go, just check on your gateway, merchant and bank fees.

You don't have to use childcare pay in order to email invoices to parents. Whenever I create an invoice I get a pop up window. In it are two options - "print this invoice" or "email the parent a copy of the invoice". Below it in another box is the option for childcare pay. If you just check the "email the parent a copy of the invoice" then as long as you have their email address in their information tab then it will email it to them.

I get the same choices but when I click the option to e-mail, it just tells me I have no parents enrolled in the Childcarepay option.

So instead, I just click print the invoice and save it to a fold on my desktop and then attach it to an e-mail to them. I also prefer to have all the saved invoices easy to access at any time.

it told me same.. that I need to enroll in childcare pay to be able to email the invoice.. I'm not sure I have any clients that will want to do the childcare pay...but I am the one that wants to be able to email the invoice to them... regardless of method of payment they choose..

Just because a parent enrolls in Childcare pay doesn't mean they have to pay through it. You can just use it to send the invoices out. They can still pay you in person. They don't give out any information like bank acct #'s. You just need to have their email address in the child information. It is so easy!

I have the parents give me their weekly checks at the beginning of the month. At the end of a month, I send them an email asking them to bring the next month's worth of checks dated, for example: March 4, 11, 18, 25. Each weekend on my way to the grocery store, I drop that week's group of checks in the night deposit at the bank so they go into my account on Monday morning every week. This is the easiest for me and the parents like it too. There is no forgetting!

They can pay by childcarepay.com if you set up an account for them or they can pay by cash/check and YOU enter it as paid (you enter the check number, or if it is cash I just type in "cash").

My dc parents pay by check or cash. I actually dont mind going to the bank. I just use the drive through atm. I dont mind getting checks becasue then it creates a paper trail. I would love it if my bank had an app for that. Maybe one day they will.

I think I already sent you a message about this but the client doesn't have to use childcarepay to pay you even if you email the invoices. I have clients that don't use it and have never even logged in that still get invoices emailed to them and pay me either by cash and the other by check.

This

I automatically enroll them in childpay, give them their acct info and HOPE they will use it during the enrollment process.

I still email invoices/receipts and they can pay cash or directly through their acct.

50% pay cash, so far.
